About the Role

The incumbent works as a Program Support Assistant (PSA) for programs within the Mental Health Service. The purpose of the position is to provide administrative/clerical support to clinical programs within VAMC Memphis Mental Health Service.

What You'll Do

  • Duties include, but are not limited to: The incumbent will be required to input data into the computer for reporting needs and possible transmission to national or accreditation bodies such as the centralized evaluation facility at the Northeast Program Evaluation Center (NEPEC), Commission on Accreditation of Rehabilitation Facilities, Trainee Accreditation agencies.
  • Incumbent is responsible for gathering information from clinicians and other staff as needed, maintaining spreadsheets and providing written reports.
  • Incumbent is responsible for coordination of data collection procedures daily.
  • The incumbent will collect, organize and review all data collected by other program staff members to ensure their completeness and accuracy.
  • Incumbent is responsible for coding of data and for entering data into a computer database.
  • The Program Support Assistant provides a wide range of assistance to the program's clinical staff.
  • Incumbent prepares in final format all required sectional correspondence, i.e., letters, proposals, minutes of meetings, conferences, confidential material, reports and surveys, any other needed correspondence to provide care and services to the staff and Veterans.
  • Qualified typist is required.
  • Incumbent receives, transcribes (in some cases composes) and types informal forms, subject matter consisting of correspondence, form letters, memoranda, protocols, takes minutes at meetings, etc.
  • Incumbent complies and prepares statistical information, when required for the Clinical Program Coordinator/Manager and/or Chief, Mental Health Service.
  • Incumbent creates and maintains files of agency regulations, guidelines, directive and manuals, as well as correspondence, applications, reports, etc.
  • Incumbent prepares requests for professional staff travel.
  • Incumbent is responsible for initiating work orders for repairs, supplies and equipment, maintaining follow-up action to be taken when appropriate, and is responsible for receiving and signing for supplies and equipment when delivered.
  • Incumbent will research for information required from digital sources; identifying and compiling data; interpreting and compiling reports for submission to the Clinical Program Coordinator/Manager.
